Moving your tent house accounts from the register to your phone
A register can be lost, soaked, or read by only one person at a time. Here is how to move your existing accounts onto a phone in a week, without losing a single entry.
Every tent house runs on a register. Bookings go in it, advances go in it, and somewhere in a margin is a note that ten chairs never came back from a function last March. The register is not the problem. It has three specific weaknesses.
It stays in one place. You are at the market, a customer calls to ask whether the pandal is free on the 18th, and you cannot answer until you are back at the shop.
Two people cannot read it at once. You take a booking, your son takes another for the same date, and nobody finds out until the goods run short on the day.
And it does not add up. Working out what you actually made after a season takes two evenings with a calculator.
Where to start
Do not try to move ten years of records in one sitting. This is the single most common reason people give up: they open the oldest register, spend three hours typing, get tired, and never come back.
Use this order instead.
- Enter your goods first, not your bookings. How many chairs, how many pandals, how many mattress sets. Everything else depends on this one list.
- Then enter only the bookings that are still to happen. Weddings you have already taken money for that have not yet taken place. Last year's events can stay in the register — nothing depends on them now.
- Then enter the outstanding money. Which parties still owe you and how much. This list is usually short and it is the most useful thing you will type all week.
- Do not close the register yet. Run both for the first month. Stop writing in it when you no longer reach for it.
Count honestly
The temptation when entering stock is to write a round number — "eight hundred chairs". In reality sixty-two are broken and forty are still lying at someone's house from the last function.
If you enter 800, the app will happily let you take bookings for 800, and the season will punish you for it. Enter only what is in working order and could be loaded onto a truck today. Count the broken ones separately.
Put one person in charge
From the day you start, decide who enters bookings. If two people enter from two places in the first week, you will get duplicates and lose trust in the whole thing. Once the habit is set — a week or two — add everyone else.
What actually changes
The first week feels like nothing: you are writing in a different place, that is all. The difference shows up around the third week. A customer asks about a date, you answer in two seconds while standing in the market, and the booking is confirmed on that call. That is the booking that used to disappear into "let me check and call you back".
Common questions
Do I have to enter all my old records?
No. Your current stock, bookings that are still to happen, and money still owed to you. That is enough. There is no need to type in last season's completed events.
What if there is no internet?
The app stays open on the phone and keeps showing what it already loaded. Adding a new booking needs a connection — ordinary mobile data is enough.
How long does this take?
An hour or two to enter your goods, then about ten minutes a day. After the first week it takes less time than writing in the register did.
